Let's Talk

Scheduling

Get the appointment right.

Book, move and cancel visits. Handle the questions around them. Our clinical, operations and EHR experts connect every scheduling step with voice and text AI.

The requests we handle

Their words. A clear path forward.

Schedule Appointment

“I need to book an appointment.”

Identify the visit the patient needs, verify their identity and find the right scheduling path. Match the request to the provider, location and appointment type, then offer available times. For multi-step scheduling, work through the linked visits in their required order. Confirm the patient's choices and explain where to go and what comes next.

Reschedule Appointment

“Can I move my Friday appointment?”

Verify the caller before opening their appointments, then identify the existing visit they want to move. Ask what works instead and offer a new time. Check the surrounding steps when the visit is part of a sequence. Make the change after the patient agrees, then repeat the new date, time and location so there is no confusion about the old visit.

Cancel Appointment

“I need to cancel my visit.”

Find the right patient and the specific appointment. Confirm which visit should be cancelled before changing it, especially when several visits are booked. Explain the cancellation and help with the next scheduling request. A cancellation releases capacity; the patient does not have to wait through another phone queue to tell the team they cannot come.

Confirm Appointment

“Am I still booked for Tuesday?”

Verify the patient, check the existing appointment and confirm its date, time, provider and location. Distinguish an in-person visit from a virtual one. Answer the practical question without creating a second appointment, and move into rescheduling or cancellation when that is what the patient actually needs.

Appointment Request Status Check

“I asked for an appointment. Has it been booked?”

Identify the patient's request and check its current status. Separate a submitted request from a confirmed appointment, explain the next step and direct outstanding work to the scheduling team. When a visit is already booked, confirm its details. When the team still needs information, make that next action clear instead of treating the request as a completed booking.

Request To Be Added To Waitlist

“Can I go on the list for an earlier appointment?”

Verify the patient and identify the appointment or service they are waiting for. Capture their availability and request an earlier opening through the practice's waitlist process. Explain what happens next while keeping the current appointment clear. Joining a waitlist and accepting an earlier time are separate decisions; the patient knows which one they have made.

Walk-in Appointment Inquiry

“Can I come in without an appointment?”

Clarify the service and location, then explain the site's walk-in process, opening hours and arrival instructions. Distinguish a walk-in service from one that requires a booking. Give the patient the right destination and next step, with a route to the care team when their question needs clinical assessment.

Virtual Appointment Issue

“My video visit is about to start and I can't get in.”

Confirm the visit and work out where the patient is stuck: finding the visit, signing in or joining it. Walk through the relevant access steps in plain language, one at a time. Connect unresolved issues to the right support or clinic team with the visit context, so a technical problem reaches someone who can help with that appointment.

E-check-in Inquiry

“How do I check in before my visit?”

Identify the upcoming visit and explain where electronic check-in starts, what information the patient needs and how to continue. Separate check-in questions from appointment changes. Help the patient through the access steps and route a blocked form or visit-specific question to the team responsible for it.

Fasting Inquiry

“Can I eat before my appointment?”

Identify the visit or test and use the care team's preparation instructions to answer the question. Keep the instructions tied to that appointment rather than giving generic fasting advice. When the patient needs an individual clinical decision, such as a medication adjustment, connect that question to the care team with the relevant visit context.

Is Doctor At Location

“Does my doctor see patients at this office?”

Clarify the clinician and location, then use the system's directory to identify the right office or service. Distinguish where a clinician practices from whether a particular appointment is available. Give the patient the correct address and scheduling route, so a familiar doctor's name does not send them to the wrong site.

The experts around the technology

Understand the work. Then improve it.

Scheduling is more than a calendar. Our operations experts map visit types, linked steps and staff handoffs. Clinical experts clarify preparation and escalation. Epic and EHR experts connect patient identity, appointment records and scheduling actions, so the conversation follows the way the practice works.

Meet the team

An example request

“I need to move Friday's appointment to next week.”

  1. Verify the caller with their date of birth and ZIP, using the calling number behind the scenes, before opening the appointment.
  2. Identify the existing Friday 10 a.m. visit and offer the following Tuesday at 2 p.m.
  3. Move the visit after the caller agrees, then confirm the new appointment details.

Connected to your EHR and your teams

A conversation with somewhere to go.

The conversation connects to patient identity and appointment information. Our Epic and EHR experts map the visit types, locations and scheduling actions to the practice's workflow. The patient hears a clear confirmation; the team has the appointment record and any work that needs its attention.

Questions worth asking

Get clear on the scope.

Can you handle multi-step scheduling?

Yes. We work through linked appointments in the order the care pathway requires, with the scheduling team defining the sequence and handoffs.

What if the patient changes their mind during the call?

The conversation follows the change. We confirm which appointment and action the patient wants before completing a booking, move or cancellation.
